MyFlex - Online Transcript Management

Recording flex-eligible professional development activities for all faculty is completely online. Please take care to record activities properly, following the instructions provided on the "Documents and Forms" page.
The PDP committee reviews and certifies transcripts for full-time faculty annually, and as necessary for associate faculty. Properly documenting your activities minimizes confusion and reduces the need for individual clarifications, both by the PDP committee and by appropriate state authorities in the event of an audit.
- PER TITLE 5, ALL FLEX-ELIGIBLE ACTIVITIES REQUIRE PRE-APPROVAL.
- PDP-sponsored workshops are already approved. All other activities require pre-approval for credit; simply recording an activity on your transcript does not imply pre-approval. See "Documents and Forms" for more information.
- If you are unfamiliar with MyFlex, please review the instructions on the "Documents and Forms" page and the outline below.
- Highlights of the most commonly used features are outlined below.
- Log in to the system with your SURF username and password.
"Enroll" Tab: Record Your Professional Development / Flex Activities
ALL FLEX-ELIGIBLE ACTIVITIES MUST BE PRE-APPROVED BY PDP!
Please see the instructions on the "Documents and Forms" page for full details and examples in each category.
- Make sure you are on the correct fiscal year.
- "Enroll" tab: default entry page (pull-down menu at top right shows "Enroll in Workshops")
- Make sure you are on the correct fiscal year and that the program box says "PDP / Flex".
- Most workshops allow you to sign up here. Please check here first before attempting to manually enter a workshop.
- See below for adjusting workshop hours, i.e. if you only attended one hour of a two hour workshop and need to remove one hour from your completion total.
- "Enroll" tab: pull-down menu at top right shows "Record MCC Group Activity"
- Other MiraCosta-offered activities are "Category I" activities that require manual entry.
- Facilitators must receive pre-approval from PDP for participants to receive credit. A Category I form and sign-in sheet are required for most activities.
- You can also use this feature to remove hours from a pre-programmed workshop above, i.e. if you only attended one hour of a two hour workshop and need to correct your completion total.
- "Enroll" tab: pull-down menu at top right shows "Record Conference Attendance"
- Conferences (non-MCC) are "Category II" activities that require manual entry.
- It is the responsibility of the faculty member to ensure that this activity meets the criteria for approved professional development activities before claiming credit. (See "Documents and Forms".)
- "Enroll" tab: pull-down menu at top right shows "Propose Individual Projects"
- Individual projects are "Category III" activities that require manual entry.
- Submitting this form is the first step in getting your project pre-approved. PDP will provide you with feedback.

"Manage" Tab: Manage Your Completed Activities
- Make sure you are on the correct fiscal year.
- Workshops and other MCC (Category I) activities can be dropped from your transcript.
- Conferences (Category II activities) can be cancelled from your transcript.
- Individual projects (Category III activities) can be revised or cancelled from your transcript.
- Anything you've deleted can be added again.
"Presenters" Tab: Facilitating A Workshop
Facilitators of pre-approved workshops (those already in the system) can view workshop enrollments here, print sign-in sheets, and even email registered participants. DO NOT use blank sign-in sheets for workshops that are in the system -- print a roster from MyFlex.
Report Your Professional Development / Flex Credit
- Full-time Faculty
- Make sure that your completed activities are recorded correctly.
- There is no need to ever print your transcript unless you want a hardcopy.
- There is no official "submission" of the transcript to PDP once completed. Checking the box for the completion certification (as if you are enrolling in a workshop) completes your obligation.
- PDP reviews transcripts for full-time faculty electronically after the certification date has passed.
- Associate faculty
- Make sure that your completed activities are recorded correctly.
- To receive credit and get paid for your approved professional development activities, you must print a hardcopy of your transcript. From the "Manage" tab, simply click "Print My Transcript" located at the bottom left of the page.
- Fill out timesheets (available from the "Documents and Forms" page) as necessary.
- The final opportunity to submit timesheets and printed transcripts to the PDP / Flex office is the last day of classes during the semester in which the credit was earned. Fall credit documentation must be received by the last day of classes of the fall term; spring credit documentation must be received by the last day of classes of the spring term. There are no exceptions.
