How to Create a Building Maintenance Request Using the Portal
Building Maintenance requests are for any building repairs including HVAC needs, lighting scheduled, electrical, plumbing, and leaks. (no new construction)
- Browse to the HelpDesk in the portal.
- Please select the Facilities [ICON] icon. A form will then display.
- Facilities Service Categories
Please select "Building Maintenance". - Campus
Please select your campus. - Room/Area
Please input the specific Classroom number, Office number, Building number, or space area with a location you are referring to for this request. - Urgency
Please use your discretion. - Title
Is a header for your request that everyone will see, something like a "re:" in an email. - Request Description
Please give us details about your Maintenance request, such as, what kind of work is being requested; any identifiable tags left behind for the Maintenance member, etc. - On Behalf Of
If you are filling out this request on behalf of somebody other than yourself, please put their name and contact information in this field. - Click "Save", and you will receive an email shortly with a ticket number for your request.
You will receive a confirmation email documenting your request.

How to Create a Custodial Service Request Using the Portal
Custodial requests are for any cleaning needs, changing of light bulbs only (no repairs), furniture moves, and setting of clock
- Browse to the HelpDesk in the portal.
- Please select the Facilities icon. A form will then display.
- Facilities Service Categories
Please select "Custodial - Office". - Campus
Please select your campus. - Room/Area
Please input the specific Classroom number, Office number, Building number, or space area with a location you are referring to for this request. - Urgency
Please use your discretion. - Title

How to Create a Grounds Service Request Using the Portal
Grounds are requests for anything pertaining to outside grounds including irrigation needs, parking lots, dead animals, and large outdoor trash/recycle cans
- Browse to the HelpDesk in the portal.
- Please select the Facilities icon. A form will then display.
- Facilities Service Categories
Please select "Grounds - Landscaping". - Campus
Please select your campus. - Room/Area
Please input the specific Classroom number, Office number, Building number, or space area with a location you are referring to for this request. - Urgency
Please use your discretion. - Title

How to Create a Key Request Using the Portal
Browse to the HelpDesk in the portal.
- Please select the Keys and Alarm Codes icon. A form will then display.
- Request Title
Is a header for your request that everyone will see, something like a "re:" in an email. - Preferred Due Date
Select the date you need the keys. (Please note: Keys are issued within 10 days of approval) - Campus
Please select your campus. - Room/Area
Please input the specific Classroom number, Office number, Building number, or space area with a location you are referring to for this request. - Primary Work Area
Is the Room/Area the key(s) being requested for your primary work area? Choose Yes or No. - Authorization
Enter the direct supervisor of the person the key(s) and/or alarm code are for. Individuals are NOT allowed to approve their own key(s) and/or alarm code requests. - Department
Enter the department of the individual who the key(s) and/or alarm code(s) are for. - Rationale
Give details of what is needed. Be specific. - Keys Requested For
Enter the name of the individual who the key(s) and/or alarm code is for. - Employee ID
Enter the Employee ID of the individual who the key(s) and/or alarm code is for. If you do not have their Employee ID number, please request it from Human Resources. - Click "Save", and you will receive an email shortly with a ticket number for your request.
You will receive a confirmation email documenting your request.

How to Create a Vehicle Request Using the Portal
Facilities is now using Facilitron for vehicle/utility cart reservations. In the Helpdesk Portal, navigate to “Vehicle Rentals”. All vehicle reservations should be submitted through Facilitron at least 2 days in advance of use.
If you do not already have an account with Facilitron, email ceverts@miracosta.edu and an account will be created for you.
Once you have been set-up as a Driver in Facilitron, you will receive a welcome email and then a second email to update your password. Click the link to update your password. You will then be able to create a password and log into your account. For support on submitting vehicle reservations, please utilize the following link:
If a vehicle needs repair, please enter a vehicle repair form in the Helpdesk portal.
Please Note: Only approved drivers can reserve district vehicles. Please visit the Risk Management website to learn how to become an approved driver if you are not one already.
You must complete the Utility Cart training before operating a cart. If you need to use a utility cart and have not completed the Utility Cart Safety Training, please follow the link to do so.
How to Create an Event Set-Up Request Using the Portal
- Browse to the HelpDesk in the portal.
- Please select the Event Set-up icon. A form will then display.
- Event Name
Enter the name of the event the request is for. - Civic Center Event
Choose yes or no if this a Civic Center Event. - MCC Sponsor
This would be the department sponsoring the event. - Contact Person
Person who should be contacted with questions regarding this event. - Contact Cell
Cell phone number of the contact person in case of event issues. - Start Date/Time
Is the date/time you need the set-up to be complete. - End Date/Time
Is the date/time the set-up can be broken down, or the end time of the event. - Campus
Select your campus. - No. of People
Is the number of expected attendees for the event. - Room/Area
Needs specific information precisely describing arrangements projected for the event. - 25 Live Confirmation
Choose yes if the room/area for the event has been reserved and confirmed in 25/Live. - Outside
Please choose yes if this is a request for an outdoor event. - Rentals
Please choose yes if additional rentals (i.e. Alley’s Party Rental) will be needed? (Note: MCC Sponsor is responsible for additional rentals) - College Police
Note any specific information or questions for College Police (leave blank if none) - Custodial
Entails your needs for the event regarding set-up tables, chairs, stage, clean-up, unlocking areas, etc. (leave blank if none). - Grounds
Entails your needs for the event regarding turn-off irrigation, large outdoor trash cans/recycle cans, etc. (leave blank if none). - Maintenance
Entails your needs for the event regarding HVAC, lighting programmed, power, electrical, open areas, etc. (leave blank if none). - Media Services
Entails your needs for the event regarding set-up podium, video, sound, etc. (leave blank if none). - Overtime Budget
Provide Overtime Budget String if outside of normal working hours (such as holidays & weekends) - Comments
Include any other important details (leave blank if none) - Click "Save", and a window should pop up giving you a ticket number for confirmation of receipt.

How to Create a Work Order Request Using the Portal
- Browse to the HelpDesk in the portal.
- Please select the Facilities Work Order icon. A form will then display.
- Request Title
Is a main header for the request that we will all see to identify which department will need to address the request. - Preferred Due Date
If within 10 days, written justification by department chair is required. - Budget String
Enter the information correctly in this field. - Max Cost
It is stated the maximum cost should not exceed $300. - Estimate
Please check this box if you need Facilities to arrange an estimate for your Work Order. - Campus
Select your campus. - Room/Area
Needs specific information precisely describing the work being requested. - Authorization (required)
The budget manager or department manager goes here. - Description of Services
Enter a description of the services you are requesting. - Click "Save", and a window should pop up giving you a ticket number for confirmation of receipt.
You will receive a confirmation email documenting your request.
